Steps 1 to 3: From enquiry to quotation
1. Enquiry
Start through the quote request form, WhatsApp or the contact page. A short message is fine; it is better to begin early with partial information than wait until every detail is known.
2. Requirements
We go through who will wear the uniforms, working conditions, colours, branding, quantities, sizes and the date the uniforms need to be in use. The staff uniform ordering checklist lists what is useful to prepare.
3. Recommendation and quotation
You receive recommended garments and branding methods with the reasons behind them, and a written quotation. The quotation states the garment and fabric, branding method and size, quantities, unit prices, any set-up charges, sample arrangements, expected timeline, delivery and payment terms. Anything not on the quotation should not be assumed.
Steps 4 and 5: Artwork, mock-up and sample approval
4. Artwork and mock-up
Your logo is prepared for the chosen method: digitised for embroidery or separated and sized for print. You receive a digital mock-up showing position, size and thread or ink colours. Check spelling, colours and proportions carefully, because the approved mock-up is what production follows. See how to prepare a logo file.
5. Sample and approval (where applicable)
For made-to-spec garments, custom colours or large orders, a physical sample is usually produced so you can check fabric, fit, colour and branding. For simple stock garments with a logo, an approved mock-up may be sufficient. Whether a sample is included, and any charge for it, is set out on the quotation.
Steps 6 to 8: Production, checks and delivery
6. Production
Production begins once the size breakdown is final and any payment terms on the quotation are met. For personalised orders, the name list is locked at this point. How garments are made is explained in uniform manufacturing.
7. Quality control
Garments are checked against the approved standard: colour, measurements, branding placement and workmanship. The checks for your order are agreed in the quotation. See quality control.
8. Delivery
Garments are packed as agreed, by size, employee, department or site, and delivered to the address on the order. Delivery arrangements and any charges are confirmed on the quotation. Please inspect the delivery promptly using the receipt checklist on the quality control page.
Step 9: Re-orders
Keep the approved specification, mock-ups and size breakdown. For a re-order, send the garment references and new quantities; a new quotation is issued referencing the approved specification, and any changes in fabric availability or pricing are flagged before you confirm.
What affects timing
Timelines are not promised in advance because they depend on factors that differ for every order:
- Stock availability of the chosen garment, colour and sizes
- Customisation level: logo on stock, custom colour or made-to-spec
- Branding method and the number of positions per garment
- Number of mock-up or sample revisions
- How quickly approvals and the size breakdown are returned
- Quantity, personalisation and packing requirements
- Delivery location and staged delivery arrangements
The expected timeline for your order is stated on the quotation. If you have a fixed date such as an opening or event, mention it at the enquiry stage. Why uniform orders get delayed explains the most common hold-ups.
Frequently asked questions
What do I need to start an enquiry?
Only a rough idea of the garments, quantity and timing. Logo files, colours and sizes can follow during the requirements step.
Will I see my logo on the garment before production?
Yes. A digital mock-up showing logo position, size and colours is shared for approval before production. Physical samples are arranged where applicable, as stated on the quotation.
Can I change the order after approval?
Changes are easiest before approval. After production starts, changes may affect cost and timing, and some may not be possible. Any change is confirmed in writing.
How do I approve mock-ups and samples?
By written confirmation, usually email or WhatsApp. Written approval creates a clear record of the agreed standard.
